Does Essentials Fit a Five-Person Office?

Essentials covers up to five users. A five-person office fits exactly — with no headroom at all. Here is the arithmetic, and the case for skipping a tier.

Exactly — and that is the problem. Essentials covers 5 users, so a five-person office fits with zero headroom. The sixth buyer forces Small, an extra $320 a year for one person. Before any of that: check whether you need a paid tier at all, because the free account has no seat cap and most of what people upgrade for is already on it.

The five-person office is the most common shape of business asking about Business Prime, and it lands on the sharpest edge of Amazon's pricing structure. Worth working through properly.

Five buyers is the best value point on this table: $35.8 per buyer, the cap used exactly. Six buyers is the worst: $499/year for a tier sized for 20 people, of which you use six.

One hire, $320. That is not a criticism of Amazon's pricing — capped tiers are normal and the per-seat rate does improve as you fill Small. But it is a real budgeting fact that arrives without warning at renewal if nobody thought about it.

The move most offices should make first

Before optimizing which tier to buy, question whether to buy one. This is the part that saves the whole fee rather than part of it.

Count buyers, not people. A Business Prime seat is for someone who places orders. In a five-person office that is very often two: an office manager and whoever covers when they are out. Everyone else asks. Two buyers sits comfortably inside Essentials with room, and removes the cliff entirely for years.

Check what you actually wanted is not free. Business pricing, quantity discounts, multi-user access, approval workflows, purchasing reports and tax-exempt purchasing all come with the free account. If your reason for looking at Business Prime is any of those, you already have it. If the shipping really is the point

Fair enough — free business delivery is the one benefit that genuinely needs paying for. Then the question is whether it clears $179/year for an office your size.

The check takes ten minutes: open the order history for the last twelve months and total the delivery actually charged. That number is the real answer, and it beats any estimate — including ours, which is why we do not publish one.

On rewards, which we can compute: Amazon publishes 2% back on Essentials, so the fee is repaid on rewards alone at about $8,950 of qualifying annual spend on brands sold by Amazon. The growth question

If you are at five buyers with a sixth genuinely arriving inside the year, you have two defensible options and no clever third one.

Buy Essentials now, move to Small when the hire lands. Cheaper if the hire slips, and hires do slip. Because billing is annual, expect to pay for overlapping coverage when you switch.

Price Small from the start. More expensive immediately, but budgeted once, and you get the 4% rewards rate and access to 45-day payment terms — the latter subject to a Business Credit Account and Amazon's approval, per Pay by Invoice and net terms.

Which is right depends on how firm the hiring is. The point is to make it a decision now rather than a surprise in month eleven.

For a typical five-person office: register the free account today, set up individual logins for the two or three people who genuinely order, configure an approval threshold high enough that people read it, and enroll for tax exemption if you hold a certificate. All free, all immediately useful.

Then wait a quarter, total the delivery charges, and revisit. If the number is small, you have saved $179/year and lost nothing. If it is large, you will know exactly which tier to buy and why.
