The short answer
Amazon Business Analytics is free — Amazon lists it and Reports as available to all Amazon Business customers. Spend Visibility is a Prime Business exclusive, and it is allocated as author and reader seats: Essentials gets 0 authors and 3 readers. A tier that cannot author a dashboard is a tier that cannot build one.
This is the single most consequential undocumented distinction in the whole Amazon Business feature set, and it explains a lot of disappointment. Organizations upgrade to Essentials expecting the analytics product they saw in the marketing, and get three read-only seats on dashboards nobody in the organization is licensed to create.
The seat table Amazon publishes once
Amazon puts this on the About Prime Business help page and, as far as we can find, nowhere else:
| Plan | Annual fee | Authors | Readers |
|---|---|---|---|
| Essentials | $179/year | 0 | 3 |
| Small | $499/year | 1 | 10 |
| Medium | $1,299/year | 1 | 100 |
| Enterprise | $10,099/year | 2 | 100 |
Duo is absent from the table because Amazon states Duo does not include Spend Visibility at all.
Read the Essentials row again. Zero authors. Whatever you conclude about the rest of the tier, an Essentials subscriber is not building custom Spend Visibility dashboards. If dashboard authorship is the reason for the upgrade, the first tier that delivers it is Small at $499/year — a difference of $320 a year that no comparison table we have seen mentions.
What the free account already gives you
Quite a lot, and this is the part organizations under-use because they assume reporting is a paid feature.
Amazon lists Amazon Business Analytics as available to all Amazon Business customers, describing it as insight into purchasing with customizable dashboards, seamless reconciliation, and the ability to act on spend data within your account. Reports are likewise listed for all customers, with views on orders, shipments, refunds, reconciliation, savings, spend trends, and more.
Operationally, Amazon describes the workflow: select Business Analytics from the Your Account menu, choose a report type from the Reports dropdown, use Filter and Transaction Date settings, then Generate report to create and download it in CSV. It names the Business Credit Account report — charges and refunds at line-item detail — and the Reconciliation report for comparing order and payment history to your own records.
Access is role-gated: Amazon states account administrators and finance users can generate these reports. Getting roles right is therefore a prerequisite — how to add users to Amazon Business.
For most small organizations, a monthly CSV into a spreadsheet answers every question they actually have about spend. That is free, today, on the account you already have.
What Spend Visibility adds
Amazon describes the Prime Business exclusives on its spend insights page as:
- Spend Visibility — "customized dashboards and advanced forecasting, just for Prime Business members".
- Program Dashboard — a centralized view of key metrics to optimize program-specific spending and track performance.
- Spend Anomaly Monitoring — "uncover purchasing irregularities to reduce rogue spend".
- Savings Insights — "leverage AI to analyze purchase history and get actionable cost-saving recommendations tailored to your organization".
Elsewhere Amazon adds that Spend Visibility organizes spending data by department, category or timeframe — the analysis dimension that a flat CSV does not give you without work.
The honest test for whether you need it
Ask three questions. If you answer no to all three, the free reporting layer is sufficient and the money belongs elsewhere.
- Do you have more than one budget holder? Spend Visibility's value is comparative — department against department, site against site. With one budget there is nothing to compare.
- Is anyone going to look at it monthly? Dashboards nobody opens are the most reliably wasted spend in software. The reader seats are only worth having if there are readers.
- Is uncontrolled buying actually costing you? If it is, note that the fix is usually a control rather than a report — and approval workflows are free on the account. See multi-user accounts and approvals.
Reporting versus controlling
A useful way to think about the whole feature set: reporting tells you what happened, controls change what happens. Amazon splits them across the paywall in a way that is more generous than most people expect.
- Free: Business Analytics, Reports, CSV export, reconciliation reports, approval workflows, roles and permissions.
- Paid: Spend Visibility dashboards, Program Dashboard, Spend Anomaly Monitoring, Savings Insights, Guided Buying.
Guided Buying — the feature that steers buyers to preferred products at the point of purchase — is the paid control worth understanding alongside this, and it is covered on Guided Buying and purchasing policies. For what the reports do for your bookkeeping specifically, see QuickBooks and accounting integration and invoices and receipts.
One warning before you cancel a membership
The Prime Business terms state that if you cancel your membership you may immediately lose access to additional benefits and any data stored by these features. If Spend Visibility holds analysis you care about, export it before canceling — see renewal and refunds.
